Scrubmee Terms of Use

Version: 2026-09-09 Applies to: the Scrubmee mobile and web app

1. These terms, and agreeing to them

These Terms of Use are an agreement between you and the Australian sole trader based in Western Australia who operates Scrubmee. In these terms, "we", "us" and "our" mean that operator, "Scrubmee" or "the app" means the Scrubmee mobile and web application, and "you" means the person using it.

You agree to these terms when you tick the box at sign up. You are also agreeing to our Privacy Policy, which explains what we collect and what we never touch.

If you do not agree with these terms, do not create an account.

Read section 3 and section 4 properly. They are the two that matter most, because they cover money and medication.

2. What Scrubmee is

Scrubmee is a personal organiser for nurses, midwives and nursing students working in Australia. It gives you:

Scrubmee is a personal tool. It is not a clinical system, not a payroll system, not a health service and not a record of employment. It is not connected to, endorsed by or affiliated with any hospital, health service, employer, union, the Australian Health Practitioner Regulation Agency (AHPRA), the Nursing and Midwifery Board of Australia (NMBA), the Australian Taxation Office or any award or enterprise agreement body.

3. Everything financial is an estimate

This is the most important section in these terms.

3.1 Estimates, not advice

Every dollar figure in Scrubmee is an estimate. That includes hourly rates, penalty rates, allowances, shift totals, fortnightly pay, take home pay, tax, superannuation, deduction totals and anything shown in Payslip Check.

Nothing in Scrubmee is payroll advice, tax advice, financial advice, legal advice or clinical advice. We are not your accountant, your payroll officer, your financial adviser, your lawyer or your union.

3.2 It is our own working, and it may be wrong

Pay and payslip figures are produced by our own calculations from publicly available rates and from the details you enter. They are not sourced from your employer and they are not sourced from your payroll system.

Our figures may be incomplete or wrong. Among the reasons:

3.3 Verify before you raise anything with payroll

Before you raise a claim, a query, a grievance or a dispute with your employer, your payroll team, your union or any tribunal, you must verify the figures yourself against your own industrial instrument and your own payslips.

Do not walk into payroll relying on a Scrubmee number as proof. Use it as a prompt to go and check, nothing more. If something looks wrong, get it confirmed by your payroll team, your union or a qualified adviser before you act on it.

We are not responsible for the outcome of any claim, dispute, grievance or conversation you have with an employer, a payroll team, a union, a tribunal or a regulator, whether or not Scrubmee prompted it.

3.4 Tax

Deduction tracking is a record keeping tool. Whether an expense is actually deductible depends on your circumstances and on ATO rules. Confirm with your accountant or with the ATO. Keep your own receipts. Scrubmee is not a substitute for tax records you are required to keep.

4. Med Calcs are a formula reference only

4.1 We never compute a dose

The Med Calcs screen shows standard nursing formulas and explains what each part of the formula means. It deliberately does not accept numbers, does not calculate, and does not produce a dose, a rate, an infusion setting or any other clinical figure. That is a design decision, not an oversight.

4.2 Verify against your facility's protocol

Formulas are general reference material. Your facility's own policies, protocols, drug monographs and formulary override anything shown in Scrubmee. Always verify against your facility's protocol, and always follow your local checking requirements, including a second checker where that is required.

4.3 Never rely on the app for a dose

Do not use Scrubmee to decide, check or confirm a medication dose, rate, dilution or administration decision for any patient, ever. Clinical decisions are yours, made under your own registration and your employer's policies, using your facility's approved resources.

4.4 Historical scaling rules are shown for context only

Some old paediatric scaling rules, such as Clark's rule, Young's rule and Fried's rule, appear in the app only as historical teaching context. They are not current practice and they must not be used for any real dosing decision. Australian paediatric dosing is individualised per drug using your local paediatric formulary and your hospital's own monographs.

5. CPD and your registration obligations

CPD guidance in Scrubmee is general information only. It is not advice about your registration.

Your continuing professional development obligations, your registration standards, your recency of practice and your annual declaration are your responsibility. They are governed by AHPRA and the NMBA, and by their published registration standards, not by us. We are not affiliated with either body and we do not report to them.

A log kept in Scrubmee is a convenience for you. It is not evidence of compliance on its own, it is not accepted by any regulator as a compliance record, and it does not discharge your obligation to keep your own evidence. If you are audited, you must be able to produce your own documentation.

Keep your own copy. Use Account, then Export my data.

6. What you enter is your responsibility

Scrubmee works from what you put in. You are responsible for the accuracy of everything you enter, including your role, your grade, your workplaces, your hourly rate, your pay cycle, your shifts, your certification dates, your CPD hours and your deductions.

If what you enter is wrong, incomplete or out of date, what Scrubmee shows you will be wrong too. We do not verify your inputs and we cannot.

You are also responsible for keeping your own independent records where you are required to, including for tax and for registration purposes.

7. The Brain Sheet, patient confidentiality and your employer

The Brain Sheet is your private shift organiser. It is stored only on your device and it is never uploaded to us. See the Privacy Policy for the detail.

You must not enter patient identifying information into the Brain Sheet, or anywhere else in Scrubmee. That includes patient names, initials in combination with other identifying detail, medical record numbers, dates of birth, addresses, bed numbers tied to a name, photographs and any other information that could identify a patient. Use non identifying shorthand.

Using Scrubmee does not change any of your existing obligations. You remain bound by:

If your employer's policy does not permit a third party app on a device you use at work, follow your employer's policy, not our app.

Because the Brain Sheet lives on your phone, protect your phone with a passcode or biometric lock. If you lose your phone, treat it the way you would treat losing a paper handover sheet, and follow your employer's incident process.

8. Acceptable use

You may use Scrubmee for your own personal, professional record keeping. You must not:

We may suspend or close an account that breaches this section.

9. Intellectual property

Scrubmee, including its name, its design, its interface, its code, its written content, its rate tables and its formula reference material, is owned by us or licensed to us. You get a personal, non exclusive, non transferable, revocable licence to use the app for your own use, for as long as these terms are on foot. Nothing else transfers to you.

The data you enter stays yours. You give us permission to store, process and display it back to you so we can run the app for you. That permission ends when you delete your account, other than for the backup retention window described in the Privacy Policy.

Third party names used in the app, including hospital names, employer names, AHPRA, NMBA and the ATO, are used for identification only and imply no association or endorsement.

10. Availability, early access, and no warranty

Scrubmee is in early access. It is provided on an "as is" and "as available" basis.

We do not warrant that the app will be available at any given time, that it will be uninterrupted or error free, that any figure it produces will be accurate or current, that it will suit your particular circumstances, or that your data will never be lost. We may add, change, suspend or remove features at any time, including features you rely on. We may take the service down for maintenance.

Keep your own records. Do not use Scrubmee as your only copy of anything that matters.

Nothing in this section limits the consumer guarantees described in section 11.

11. Limitation of liability, and your Australian Consumer Law rights

11.1 Your consumer guarantees are not excluded

Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law in Schedule 2 of the Competition and Consumer Act 2010 (Cth), or under any other law, where doing so would be unlawful.

You may have a statutory right to a repair, replacement, refund or compensation for reasonably foreseeable loss. Those rights stand regardless of anything written in these terms, and any part of these terms that would otherwise take them away has no effect to that extent.

11.2 Everything else

Subject to section 11.1, and to the maximum extent permitted by law:

Subject to section 11.1, where our liability can be limited but not excluded, our total liability to you for all claims is limited, at our option, to resupplying the service, or to the total amount you have paid us for Scrubmee in the 12 months before the claim arose. Scrubmee is currently free, which means that amount may be nil.

11.3 Your responsibility

You agree that you use Scrubmee at your own discretion, that you will independently verify anything you intend to act on, and that you are responsible for your own professional and financial decisions.

12. Termination

You can stop using Scrubmee at any time. You can delete your account in the app under Account, then Danger zone. Deletion is permanent, so export first if you want a copy.

We can suspend or close your account if you breach these terms, if we are required to by law, or if we discontinue the service. Where we close an account because we are shutting the service down, we will give you reasonable notice and a chance to export your data first.

Sections 3, 4, 5, 7, 9, 11 and 14 survive termination.

13. Changes to these terms

We will update these terms as Scrubmee changes. The version date at the top changes each time, and the current version always lives at https://app.scrubmee.com/terms.

If a change is significant we will tell you in the app before it takes effect, and we may ask you to agree again. We keep a record of which version you agreed to and when. If you do not agree to a change, stop using the app and delete your account.

14. Governing law

These terms are governed by the laws of Western Australia and the Commonwealth of Australia. You and we submit to the non exclusive jurisdiction of the courts of Western Australia and the courts able to hear appeals from them.
